How to Use

Getting started

A quick walk-through for your first time. Pick your side.

  1. Log in

You'll get an invite email. Tap the link, pick a password, and you're in. After that, log in with your email and password.

    Office log in →
  2. Start on the homepage

The boxes across the top show what needs you right now: jobs today, jobs not scheduled, time sheets and crates to approve. Tap any box to jump there.

Below that, the tools are laid out in the order the work happens: Plan, Schedule, On the job, Close out.

    Homepage →
  3. Make the estimate and BOL in Airtable

The Estimates tile opens Airtable. Add the client, line items and artwork there, then make the PDF.

For a BOL, tap Jobs & BOLs, open the job and tap New BOL (or use ⋯ → + New BOL on the Dispatch Scheduler). Its number, items, client and consignor fill in from the job.

If the job needs condition reports, add a Condition Report line to the estimate. That's what tells the crew to do them.

  4. Build any crates

In Crate Builder, tap + New crate, search the job number and tap the artwork. Pick the crate type and check the sizes. The cut list and price fill in as you go.

Tap Save crate, then Approve crate. The price goes onto the job's estimate. To change the price, type a Final price and save again.

    Crate Builder →
  5. Schedule the job

In Dispatch Scheduler, drag the job onto a day, then onto a driver. The dispatch sheet fills itself in. Tap a job to open that day's sheet.

  6. Approve time sheets

In Approve Time Sheets, tap a name to open the PDF. Tap Approve, or write a note and tap Send back to driver. The driver gets an email with your note.

  7. Add people

In Team, type a name and email (and mobile, if you want to text it) and tap Send invite. New crew who sign up themselves show up here for you to approve.

Good to know

  • The SOLID logo always takes you home. The bar under it shows where you are, and Go to… jumps to any page.
  • 5 wrong passwords locks a login for 15 minutes. To unlock someone sooner, clear Locked Until on their row in Airtable.
  • Turning someone off in Team logs them out within a minute.
